COOPI Cooperazione Internazionale is an Italian humanitarian non-governmental organization founded in Milan in 1965. The organization works to support vulnerable populations and communities affected by poverty, conflict, emergencies and natural disasters across sectors including humanitarian assistance, food security, health, water and sanitation, education and socio-economic development.

JOB SUMMARY

The Logistics Assistant will provide operational support to COOPI’s multi-sectoral interventions in benue and kaduna State.

The successful candidate will support procurement and logistics activities, including procurement documentation, invoice verification, supplier management, fuel and asset management, premises maintenance, vehicle fleet coordination, travel arrangements and logistics reporting.

KEY RESPONSIBILITIES

PROCUREMENT

File and electronically archive procurement documents.

Track and monitor original invoices and verify them before payment.

Issue tender documents to vendors following tender announcements.

Assist with updating supplier and price lists and regularly verify price validity.

Enter procurement data into REGOLO and upload the required documentation.

LOGISTICS

Ensure proper fuel storage and management and maintain fuel tracking records.

Prepare monthly logistics and fuel consumption reports.

Regularly update the asset inventory register.

Support the identification and contracting of offices, guesthouses and warehouses.

Help maintain appropriate working and living conditions for staff.

Support preventive and corrective maintenance of premises.

Coordinate travel arrangements and reservations with relevant departments.

Manage the vehicle fleet and ensure trip logs are properly counter-signed.

Schedule regular preventive servicing of generators.

Support the implementation of procurement and logistics policies.

Conduct regular market surveys to obtain competitive prices for goods and services.

Conduct quarterly vendor appraisals and update the supplier database.

CODE OF CONDUCT

The Logistics Assistant will be expected to treat beneficiaries with dignity and uphold COOPI’s Code of Ethics and Conduct and relevant principles relating to non-discrimination and the protection of women and children.

The role also requires adherence to COOPI’s zero-tolerance policy on corruption and its Code of Conduct and Anti-Fraud policy.

QUALIFICATIONS AND REQUIREMENTS

A university degree in Logistics, Supply Chain Management, Business Administration or another relevant field.

Additional years of relevant experience and specialized training may be considered where applicable.

At least 2 years of experience working with an INGO or UN organization.

Experience working in Plateau State is an added advantage.

Strong understanding of supply chain and procurement processes, concepts and principles.

Knowledge of procurement and logistics practices and the ability to quickly understand organizational and donor procedures.

Strong analytical and problem-solving abilities.

Excellent communication, negotiation and coordination skills.

Excellent written and oral communication skills.

Strong report-writing abilities, particularly for tender and monthly logistics reports.

Good organizational and attention-to-detail skills.

Ability to work independently and as part of a team.

Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook and Access.

Ability to manage multiple tasks and work effectively under tight deadlines.

Ability to establish effective working relationships with people from different nationalities and cultural backgrounds.

PROFESSIONAL ATTRIBUTES

Applicants should be professional, motivated, flexible and culturally sensitive.

Previous experience with INGOs or UN organizations is desirable.

Knowledge of the local language is an advantage.

Applicants should be willing and able to work and travel regularly in remote areas where services may be limited.

Previous experience in a similar logistics position is an advantage.
