Management Sciences for Health MSH is a global health nonprofit organization that works with leaders, health managers and communities in developing countries to strengthen health systems and improve public health outcomes.

JOB OVERVIEW

The State Finance and Admin Assistant will provide financial, administrative and logistics support to ensure smooth operations at the state level.

The role will support payment processing, activity implementation, procurement, vendor coordination, accounting, administration, asset management and compliance.

The successful candidate will work closely with the Finance Team, Senior Operations and Procurement Specialist and State Specialist to coordinate project activities in Kano.

KEY RESPONSIBILITIES

  1. Arrange accommodation for staff, participants and consultants visiting the state for assignments.
  2. Support dispatch of goods and equipment, including preparation of packing lists, waybills and export documentation where required.
  3. Communicate shipping details promptly to recipients.
  4. Manage calendars, conference rooms, meetings, conferences and activity logistics.
  5. Ensure workspaces and basic facilities are prepared for new employees.
  6. Support inventory and asset management.
  7. Coordinate approved activity profiles and ensure required materials and equipment are available.
  8. Coordinate procurement and engagement of vendors for goods and services.
  9. Coordinate catering services for official functions.
  10. Prepare payment schedules for vendors and participants.
  11. Properly code financial transactions.
  12. Maintain administration and accounting files.
  13. Follow up on outstanding vendor payments and ensure timely reconciliation.
  14. Monitor consumption of project resources, including petrol, electricity, water and telephone services.
  15. Participate in improving accounting systems and internal controls.
  16. Ensure compliance with MSH policies and procedures, Global Fund guidelines and Nigerian government regulations.
  17. Prepare monthly administrative and financial reports as requested.
  18. Manage state-level tax and other statutory payments.
  19. Compile, review and submit payment documentation to the country office for processing.
  20. Ensure accurate and timely entries in project activity tracking logs.
  21. Support accurate month-end and year-end financial activities.
  22. Perform other duties assigned by the supervisor.

QUALIFICATIONS AND REQUIREMENTS

  1. University Degree or HND in Accounting.
  2. Minimum of 2 years of experience as an Accountant and Administrator.
  3. Understanding of key accounting principles and practices.
  4. Experience working on Global Fund and U.S. Government-funded projects.
  5. Proficiency in Microsoft Office applications, particularly Excel.
  6. Excellent written and verbal English communication skills.
  7. Ability to work independently and take initiative.
  8. Ability to learn and follow complex programme procedures.
  9. Good typing, memo writing and editing skills.
  10. Strong computer literacy and knowledge of commonly used software applications.
  11. Proficiency in Microsoft Word, Excel, Outlook and PowerPoint.
  12. Knowledge of Photoshop is an advantage.
  13. Ability to learn and use organizational management systems and other relevant software or websites.
  14. Familiarity with internet search engines and ability to conduct background research on assigned tasks.
  15. Strong organizational and office management skills.
  16. Ability to manage multiple tasks and priorities in a time-sensitive environment.
  17. Strong attention to detail and commitment to quality.
  18. Excellent interpersonal and teamwork skills.
  19. Ability to work effectively with culturally diverse staff, clients and consultants.
