Job Overview
The Administrative Assistant will support daily office operations by ensuring timely, transparent and cost effective procurement and delivery of goods and services. The role will provide support for procurement processes, logistics coordination and fleet management. The role will also support office administration, record keeping, meeting preparation and general assistance to staff to ensure smooth workflow across departments.
Key Responsibilities
General Administration
The role will support the Office Manager to ensure office machines and equipment are maintained.
ensure the availability, distribution and record keeping of office supplies and stationery.
will monitor the supply and usage of generator consumables such as diesel and engine oil.
The role will manage document filing and retrieval.
The role will provide cover for officers when required.
Procurement and Logistics Support
The role will assist in collecting and reviewing purchase requisitions from different units.
support the preparation of draft RFQs and RFPs for review.
solicit quotations from approved suppliers and prepare bid analysis or comparison sheets.
will ensure procurement activities comply with organisational and donor guidelines.
support the maintenance of the vendor database.
will assist in preparing procurement reports, tracking purchase status and updating procurement trackers.
support vendor payment processing and liaise with the finance team to ensure timely payments.
Fleet and Travel Management
assist in scheduling vehicle use and maintaining transport request records.
track vehicle movement, mileage and fuel consumption.
will support routine vehicle maintenance and repairs.
coordinate domestic and international travel for staff, consultants and visitors in line with organisational travel policy.
The role will maintain relationships with travel agents, airlines and hotels to ensure competitive rates and reliable service.
logistics planning for trainings, workshops and field missions.
perform other duties as assigned by the supervisor.

This role has no direct reports.
Requirements
Education and Experience
Applicants must hold a first degree in Business Administration, Social Sciences or a related field.
have between 1 and 3 years of administrative or procurement experience, preferably within the INGO sector.
experience in documentation, filing and database management.
proficient in Microsoft Office and relevant software tools.
Knowledge and Skills
be familiar with international faith based organisations in the relief and development sector.
Applicants must have strong written and verbal communication skills.
demonstrate a collaborative and team oriented work style with the ability to work independently with minimal supervision.
Physical and Work Requirements
Applicants must be physically and mentally fit for the role.
be able to learn new tasks, retain information and complete tasks independently.
be willing and able to travel for standard domestic assignments.
Applicants must have authorisation to work in Nigeria.
