POSITION: ADMINISTRATIVE ASSISTANT 1

CONTRACT DURATION: 4 MONTHS

REPORTS TO: EXECUTIVE ASSISTANT AND IM OFFICER, ASSISTANT AND IM OFFICER

The International Committee of the Red Cross ICRC is recruiting an Administrative Assistant 1 to provide secretarial and administrative support while also serving as an Information Management IM focal point within the Abuja Delegation.

ABOUT ICRC

Since 1863, the ICRC has worked to preserve human dignity and relieve suffering caused by war and armed violence. The organisation works with Red Cross and Red Crescent partners to provide humanitarian assistance, reconnect families and locate missing people, while engaging authorities and armed forces to promote respect for international humanitarian law.

KEY RESPONSIBILITIES

  1. Welcome visitors, provide relevant information and direct them to appropriate staff members.
  2. Answer and redirect incoming calls and respond to callers’ questions.
  3. Support the implementation of information management projects and programmes.
  4. Help users understand and adapt to changes related to information management.
  5. Receive, distribute and manage incoming paper correspondence.
  6. Prepare outgoing bordereaux and receive and distribute incoming mail.
  7. Brief and support colleagues handling bordereaux.
  8. Check outgoing correspondence to ensure compliance with ICRC protocol.
  9. Organise the dispatch of outgoing letters and maintain incoming and outgoing Chrono files.
  10. Ensure outgoing correspondence is acknowledged by recipients through the dispatch office.
  11. Support compliance with rules relating to correspondence, document security, archiving and appropriate use of standard computer technology.
  12. Manage ICRC visual identity stock and general stationery stocks for the management team.
  13. Ensure stationery and visual identity materials comply with applicable ICRC rules.
  14. Maintain up-to-date knowledge of standard computer technology and adapt to relevant changes.
  15. Support the IM team with daily administrative tasks, including agendas, meetings, VIP visits, contact lists, document compilation and simple correspondence.
  16. Prepare meeting rooms, materials, conference calls, presentations and video conferences.
  17. Perform general secretarial duties such as photocopying, document destruction and ordering supplies.
  18. Maintain and regularly update the management interlocutors list.

QUALIFICATIONS AND REQUIREMENTS

  1. Bachelor’s degree in Communications, Business Administration, Computer Science, Social Sciences or a related field.
  2. Very good working knowledge of Microsoft Office, including Word, Excel and PowerPoint.
  3. Knowledge of HCL Notes and SharePoint.
  4. Excellent command of English.
  5. Good capacity-building and knowledge-sharing skills.
  6. 1 to 2 years of experience in programme and administrative-related tasks.
  7. Valid permission to work in Nigeria.

Internally, the position interacts with staff within the delegation and ICRC headquarters.

Externally, the position interacts with commercial service providers.
