Job Overview

Under the supervision of the Grants and Partnership Manager, the Deputy Grants Manager ensures full compliance with donor requirements and oversees the entire reporting cycle—from data collection to final submission.

The role also supports proposal development, strengthens communication, and represents PUI in coordination meetings to build strategic partnerships.

Key Responsibilities

🔹 Donor Compliance & Reporting

  • Coordinate reporting processes from initiation to submission
  • Ensure timely submission of financial and narrative reports
  • Review reports for accuracy, consistency, and compliance
  • Liaise with field teams for data collection and validation
  • Respond to donor queries and maintain proper documentation
  • Manage reporting schedules and ensure archiving of reports
  • Handle contract follow-ups (cost/no-cost extensions)

🔹 Proposal Development

  • Support drafting of project proposals and amendments
  • Interpret donor guidelines and share with relevant teams
  • Monitor funding opportunities
  • Ensure alignment between budgets and narrative proposals

🔹 Coordination & Documentation

  • Organize kick-off meetings and internal reporting processes
  • Maintain grants tracking tools and reporting schedules
  • Share reports with headquarters in line with deadlines
  • Prepare meeting minutes and internal documentation

🔹 Communication & Visibility

  • Ensure compliance with donor visibility requirements
  • Develop and manage communication plans
  • Oversee success stories and content creation
  • Maintain photo and video archives
  • Prepare external communication materials and reports

🔹 Representation

  • Represent PUI at humanitarian coordination meetings
  • Provide reports and feedback from meetings

🎓

Qualifications & Requirements

📚 Education

  • Degree in Project Management, Political Science, International Development, Public Administration, Business, Social Sciences, or related field

💼 Experience

  • Minimum of 2 years’ experience in grants, project management, or NGO roles
  • Experience in donor reporting and compliance
  • Experience creating communication materials (articles, reports, etc.)

🗣️ Language Skills

  • Excellent written and spoken English
  • Knowledge of local languages (Hausa, Kanuri, Fulani) is an advantage

💻 Technical Skills

  • Proficiency in Microsoft Word, Excel, PowerPoint, Project, and databases
