Role Overview
The firm is hiring a Global Admin Assistant / Executive Assistant to support the Managing Attorney by managing and coordinating all calendar operations. This role involves scheduling and confirming calls, meetings, depositions, court hearings, and other legal events while ensuring deadlines and commitments are never missed.
The position requires a highly organized professional who can anticipate needs, maintain structure in a fast-paced environment, and communicate clearly using concise bullet points. The Executive Assistant will act as the Managing Attorney’s right hand—keeping schedules organized, coordinating with legal teams, courts, and external partners, and ensuring smooth workflow across the firm.
Key Responsibilities
- Manage and maintain the Managing Attorney’s full calendar including meetings, legal events, and travel
- Coordinate scheduling for depositions, hearings, mediations, and expert calls
- Confirm appointments with courts, opposing counsel, experts, and internal team members
- Send reminders and follow-ups to prevent missed deadlines or scheduling conflicts
- Prepare the Managing Attorney for meetings by confirming logistics and identifying risks
- Manage communications via Teams chat, phone, text, and email
- Quickly reschedule events when conflicts arise and communicate updates to all parties
- Draft routine scheduling and confirmation letters after training
- Provide administrative support, including research, travel coordination, and project assistance
Requirements
- 2–5+ years of experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational and time-management skills
- Excellent attention to detail and reliability
- Ability to manage deadlines and multiple tasks simultaneously
- Fast and clear communicator who prefers concise bullet-point communication
- Comfortable working in a fast-paced remote environment
