ABOUT THE ROLE
The International Rescue Committee (IRC) is seeking a Warehouse Officer to ensure the efficient and effective management of inventory and assets at its Yola office in Adamawa State.
The successful candidate will oversee warehouse operations, inventory controls, materials receiving and dispatch, asset management, documentation, safety, security, compliance and reporting.
KEY RESPONSIBILITIES
Monitor periodic cycle counts in line with standard operating procedures.
Lead fiscal year-end stock inventories and prepare accurate inventory reports.
Support programmes in establishing reliable stock distribution plans to prevent expired items and closed-grant inventory issues.
Train and support storekeepers in warehouse functions and reporting.
Oversee proper stock keeping, storage conditions, security and warehouse maintenance.
Manage and document the receipt, handling, storage and dispatch of goods.
Receive, inspect and document materials from suppliers and other sources.
Monitor stock levels and advise the Supply Chain Manager of potential shortages.
Organise appropriate cold-chain arrangements for temperature-sensitive items.
Implement IRC Global Supply Chain procedures for assets and inventory management.
Manage Contribution In Kind and closed-grant inventory.
Maintain warehouse registers, authorization schedules and inventory records.
Conduct internal inventory checks and participate in scheduled inventory counts.
Implement appropriate stock rotation procedures including FIFO, FEFO and LIFO.
Supervise casual labourers and assign warehouse tasks.
Ensure warehouse safety, security, pest control, fire safety and facility maintenance.
Maintain accurate asset registers and inventory lists.
Track, maintain and document all IRC assets and equipment.
Ensure staff accountability for assigned assets through appropriate documentation.
Conduct quarterly physical asset checks and submit reports to the Supply Chain Manager.
Support asset transfers, disposal, donation and reassignment processes in line with IRC and donor requirements.
Maintain proper filing systems for warehouse and asset documentation.
Support asset verification exercises and insurance documentation.
Prepare incident reports for damaged or lost assets.
Support property disposal documentation and co-manage IRC facility properties with the administration team.
COMPLIANCE AND REPORTING
Review assigned supply chain reports and support improvement plans.
Implement internal and external audit corrective action plans.
Report suspected supply chain policy violations or areas of concern to the Supply Chain Manager.
Support time-bound initiatives aimed at improving supply chain performance and compliance.
Prepare monthly reports on expendable store stock movements and balances.
Submit accurate inventory and asset reports within required timelines.
Support the development and updating of warehouse material distribution plans.
QUALIFICATIONS AND REQUIREMENTS
Diploma or Degree in a relevant field.
Minimum of 3 years of work experience.
At least 3 years of experience in Supply Chain Management.
Competency in Microsoft Office applications including Word, Excel, PowerPoint and Outlook.
Good computer appreciation skills.
Strong mathematical and inventory management skills.
High level of integrity and good interpersonal skills.
Ability to work in difficult environmental conditions.
Physically mobile and able to lift 30kg without strain.
Strong organisational and documentation skills.
REPORTING STRUCTURE
The Warehouse Officer reports directly to the Supply Chain Manager.
