PATH is a global nonprofit organisation working to advance health equity through partnerships, innovation, science, technology, advocacy and other specialised areas.
PATH’s Center for Vaccine Innovation and Access focuses on vaccine research, development and delivery, working with governments, pharmaceutical manufacturers, donors and other partners to expand access to lifesaving vaccines.
ABOUT THE ROLE
The Program Assistant will provide administrative, logistical and clerical support to vaccination introduction and delivery projects in Nigeria.
The successful candidate will support project teams in Kebbi State and help ensure that project activities are implemented efficiently, on time and in accordance with PATH and donor requirements.
The position will report to project managers on a day to day basis, with line reporting to a supervisor within the Project and Portfolio Management team.
KEY RESPONSIBILITIES
Support internal and external correspondence and assist with drafting responses and managing enquiries.
Proofread, format and manage project documents including proposals, reports, workplans, presentations and meeting materials.
Organise project information to support donor reporting and internal updates.
Prepare and manage administrative documents including travel requests, payment forms and other required forms.
Maintain organised electronic and physical filing systems using PATH platforms such as SharePoint, Box and Smartsheet.
Coordinate travel arrangements for project staff and consultants, including flights, accommodation, ground transportation and itineraries.
Provide logistical support for meetings, trainings, workshops, supervision visits and stakeholder engagements.
Arrange meeting venues, catering, participant lists, materials and virtual meeting platforms.
Support finance and procurement teams with administrative activities related to project implementation.
Track procurement, payment and expense documentation and support timely submission of financial and procurement records.
Manage meeting schedules and assist with preparing agendas and minutes.
Track decisions, follow up actions and task assignments from meetings.
Support team members in using PATH systems and software.
Liaise with IT teams to resolve basic hardware and software issues.
Support coordination across CVIA projects and country teams.
Provide backup support to other CVIA Program Assistants when required.
QUALIFICATIONS AND EXPERIENCE
Candidates should have a Bachelor’s degree and at least 2 years of progressively responsible administrative experience.
Alternatively, candidates with an associate’s degree may qualify with at least 4 years of strong administrative support experience.
Applicants should demonstrate excellent organisational, coordination and administrative skills.
Strong oral and written communication skills in English are required.
Candidates should be proactive and capable of working independently in a fast paced professional environment.
Proficiency in Microsoft Office applications, particularly Outlook, Word, PowerPoint and Excel, is required.
Experience with Smartsheet is an advantage.
Applicants should have the ability to learn new software and assist colleagues in using new technology.
Experience drafting, proofreading and editing professional documents is required.
Candidates should be able to work effectively within a multi site organisation and team based structure.
The successful candidate should be able to prioritise competing demands and adapt to changing priorities.
Strong integrity, attention to detail and commitment to compliance and accountability are required.
Experience with science related terminology and concepts involving immunology and vaccines is an advantage, although willingness to learn is also expected.
ADDITIONAL REQUIREMENT
The successful candidate will be required to obtain the PATH Proofreaders Certification within 120 days of employment.
