Job Summary
The Administrative Assistant will provide comprehensive administrative, logistical, and operational support to ensure the effective and efficient functioning of the GPD Kano State office. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while supporting program and management teams.
Key Roles and Responsibilities
• Provide administrative, logistical, and operational support to the state office.
• Support recruitment processes and staff performance appraisal activities.
• Prepare, document, and circulate meeting minutes and reports.
• Ensure proper maintenance and functionality of office facilities and equipment.
• Identify grant opportunities online and support proposal development processes.
• Coordinate travel arrangements and accommodation for staff, management, and consultants.
• Track staff attendance and movement using approved registers and tools.
• Develop and maintain monthly tracking sheets on staff punctuality and lateness.
• Organize logistics for meetings, trainings, workshops, and other official events.
• Manage office telephone lines and maintain records of incoming and outgoing correspondence.
• Receive, document, and track deliveries from vendors and service providers.
• Perform any other duties as assigned to support effective team performance.
Qualifications and Experience
• BA/BSc/HND in Business Administration or a related field.
• Minimum of two (2) years relevant work experience, including administrative roles.
• Proven ability to provide strong administrative support to management.
• Excellent organizational, analytical, and communication skills.
• Ability to work effectively with diverse stakeholders and manage multiple tasks efficiently.
• Strong interpersonal skills and ability to work well in a team-oriented environment.
