JOB PURPOSE

The Project Assistant will provide day-to-day administrative, programme, logistical, monitoring and coordination support to ensure effective and timely implementation of project activities.

The successful candidate will work closely with the Project Manager and teams including Programme, Finance, Monitoring, Evaluation and Learning, Communications, Operations and implementing partners.

KEY RESPONSIBILITIES

  1. Support project planning, coordination and implementation.
  2. Assist with activity plans, schedules, workplans and implementation trackers.
  3. Organise trainings, workshops, meetings, community dialogues and consultations.
  4. Prepare agendas, invitations, participant lists, briefing materials and activity documentation.
  5. Track project activities and flag delays, risks and operational challenges.
  6. Coordinate logistics including venues, transportation, accommodation, refreshments, materials and equipment.
  7. Support procurement and administrative processes in line with organisational procedures.
  8. Assist with activity budgets, expenditure requests, financial documentation and budget tracking.
  9. Support monitoring and collection of project data, feedback forms, attendance records and other MEL documentation.
  10. Assist with documenting outputs, outcomes, lessons learned, stories of change and case studies.
  11. Prepare meeting minutes, action points, field visit reports and other programme documents.
  12. Support communication and visibility activities, including photographs, participant stories and other approved materials.
  13. Coordinate with government stakeholders, community representatives, partners, consultants and other relevant actors.
  14. Support field activities, monitoring visits, data collection and documentation.
  15. Ensure project activities follow conflict-sensitive and Do-No-Harm principles.
  16. Promote inclusive participation of women, youth, persons with disabilities and other marginalised groups.
  17. Comply with safeguarding, PSEA, anti-fraud, confidentiality, security and Code of Conduct requirements.

QUALIFICATIONS AND EXPERIENCE

  1. Bachelor’s degree in Development Studies, International Relations, Peace and Conflict Studies, Social Sciences, Public Administration, Business Administration or a related field.
  2. Minimum of 1 year of relevant experience supporting development, humanitarian, peacebuilding or civil society programmes.
  3. Experience in project administration, activity coordination, logistics or programme support.
  4. Strong organisational and time-management skills.
  5. Ability to maintain accurate records and manage multiple tasks simultaneously.
  6. Good written and verbal communication skills.
  7. Good working knowledge of Microsoft Office, particularly Word and Excel.
  8. Ability and willingness to undertake field travel.
  9. Ability to work effectively within multidisciplinary teams.

DESIRABLE EXPERIENCE

Experience with donor-funded projects, national or international NGOs, peacebuilding, conflict prevention, governance, humanitarian programmes, community development or civil society organisations will be an advantage.

Knowledge of conflict-sensitive programming, Do-No-Harm approaches, Northern Nigeria or other conflict-affected settings, as well as relevant local languages, is also desirable.

FIELD TRAVEL

The Project Assistant may undertake regular field travel to support community-level coordination, logistics, participant registration, facilitators, monitoring visits, data collection and documentation of implementation challenges and lessons learned.
