JOB OVERVIEW
The People Practice is recruiting an experienced Executive Assistant on behalf of a major stakeholder in the Energy Sector.
The successful candidate will serve as a strategic support anchor for the organisation’s leadership and Chief Operating Officer (COO), managing information flow, protecting executive time and ensuring that leadership decisions are translated into timely action.
The role requires someone who can operate effectively at the intersection of public-sector bureaucracy and corporate operations while managing complex administrative responsibilities.
KEY RESPONSIBILITIES
CALENDAR AND PRIORITY MANAGEMENT
- Proactively manage and prioritise meeting requests.
- Resolve scheduling conflicts and develop efficient daily executive schedules.
- Manage access requests from high-level external stakeholders and prioritise them based on urgency and strategic relevance.
- Serve as a professional point of contact for senior stakeholders.
INFORMATION FLOW AND DOCUMENTATION
- Draft, review and dispatch sensitive correspondence.
- Review incoming briefs and memos, summarise key information and flag items according to priority.
- Prepare meeting agendas and background briefing materials.
- Take concise meeting minutes and track action items through to completion.
- Maintain secure and well-organised physical and digital filing systems.
- Ensure critical government documents and project briefs can be retrieved efficiently.
OPERATIONAL SUPPORT
- Provide agile administrative support to the COO.
- Ensure alignment between leadership schedules and wider office operations.
- Independently follow up with team heads on assigned tasks and deliverables.
REQUIREMENTS
- Minimum 5–7 years of experience supporting C-suite executives in high-pressure corporate environments.
- Demonstrated experience supporting organisational leaders or public figures.
- Strong understanding of official state protocols, hierarchies and civil service sensitivities.
- Outstanding verbal communication and presentation skills.
- Exceptional written communication skills.
- Strong project coordination abilities.
- Ability to independently follow up on tasks without requiring leadership intervention.
- Advanced proficiency in productivity and collaboration tools, including Google Workspace, Microsoft 365, Outlook Calendar, SharePoint and task-tracking tools.
- Strong discretion and ability to handle sensitive information.
