JOB PURPOSE
Pathfinder International is seeking a Program Assistant to provide administrative, logistical, and programmatic support for effective project implementation.
The successful candidate will support project coordination, documentation, reporting, stakeholder engagement, meeting logistics, data management, and activity retirement across target locations.
KEY RESPONSIBILITIES
Program Coordination
Track and update AIM-MNCNH activities across 16 states using approved trackers and templates.
Prepare and update manuals, reports, presentations, documents, and other project materials.
Participate in cross-functional project teams and support project-level implementation.
Follow up with state focal persons, Technical Working Groups, partners, and advocacy champions on agreed actions.
Activities and Events Coordination
Coordinate planning, bookings, travel, accommodation, meeting venues, materials, registration, agendas, and other logistics for project activities and events.
Support advocacy strategies focused on reducing maternal and newborn mortality.
Coordinate meetings, advocacy events, partner engagements, and virtual sessions.
Reporting and Documentation
Compile weekly, monthly, and quarterly project reports.
Maintain project files, forms, records, and electronic databases in line with organizational requirements.
Process invoices for submission to Finance.
Document lessons learned and best practices and support knowledge-sharing sessions.
Database Management and Data Analysis
Collate state-level data and update Action Plan Trackers, DHIS summaries, and RMNCHN activity records.
Support the preparation and formatting of project reports and presentations.
Assist with reviewing and analyzing project data.
Communication and Visibility
Support media engagement, success stories, newsletters, social media content, and policy dissemination activities.
REQUIREMENTS
Bachelor’s degree or equivalent combination of education and relevant experience.
At least 1 year of experience in program coordination, report writing, logistics management, administrative support, or project implementation.
Experience supporting health projects, preferably RMNCH, MNCH, or advocacy programs, is an advantage.
Experience working with NGOs, development partners, or donor-funded projects.
Professional proficiency in English.
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Knowledge of advocacy and maternal, newborn, and child health programs.
Strong organizational, planning, multitasking, communication, and teamwork skills.
Ability to maintain confidentiality and work effectively in a fast-paced environment.
Willingness to travel, with travel required for at least 30% of the role.
