ALIMA (The Alliance for International Medical Action) is an international non-governmental organization (INGO) based in Dakar, Senegal, that has been providing medical assistance to vulnerable populations in emergency situations since 2009. ALIMA’s unique model focuses on partnerships with local medical organizations and innovative research to improve humanitarian medicine.
Role Overview
The Logistics Supervisor is responsible for ensuring the seamless operation of logistics activities at the guest house and office levels. This involves managing vehicles, fuel, local infrastructure, and communication systems according to ALIMA’s strict protocols. The goal is to maintain all material assets and vehicles in optimal running condition to support medical operations effectively.
Key Responsibilities
1. Fleet and Movement Management
• Logistics Oversight: Supervise all maintenance and logistics activities for vehicles, ensuring optimal running conditions and safety standards.
• Movement Tracking: Plan, coordinate, and track all daily and weekly movements to ensure operational efficiency.
• Fuel Management: Rigorously monitor fuel consumption for vehicles and generators; prepare and share comprehensive weekly reports with the Logistics Manager.
• Maintenance: Oversee motor and vehicle servicing, tracking maintenance schedules, and acting as the primary point of contact for external vendors.
• Staff Scheduling: Update driver rosters, manage shifts, and ensure that duty drivers are adequately prepared for all travel requirements.
2. Facilities and Infrastructure Maintenance
• Facility Oversight: Ensure regular inspections and maintenance of office compounds and guest house residences.
• Rehabilitation: Evaluate building needs and oversee minor rehabilitation or repair work under the guidance of the line manager.
• Waste Management: Implement and maintain efficient waste management systems across all ALIMA facilities.
• Hibernation Stock: Periodically audit, update, and replenish hibernation stocks to ensure emergency readiness.
3. Information Technology and Communication
• Systems Functionality: Ensure the correct installation and maintenance of communication systems, including servers and radio equipment.
• ICT Support: Coordinate with the ICT Supervisor to perform monthly backups, computer maintenance, and virus definition updates for all project hardware.
4. Reporting and Documentation
• Incident Reporting: Immediately report all incidents involving accidents, loss of equipment, or damage to the supervisor.
• Asset Security: Inform management of any security breaches, including attempted break-ins or theft.
• Inventory Control: Submit monthly reports on stock levels, potential ruptures, and expiring items.
5. People Management and Safeguarding
• Supervision: Manage internal and outsourced guards, drivers, and daily laborers.
• Team Development: Conduct regular meetings, track leave days, and ensure every team member has a clear Job Description (JD).
• Safeguarding & Ethics: Actively implement ALIMA’s policies against the abuse of power, gender-based violence (GBV), and sexual violence. Ensure the team and community are aware of complaint escalation mechanisms.
Required Experience and Skills
• Education: Technical Diploma or University Degree in Logistics, Supply Chain Management, or a related field.
• Experience: 2–3 years of professional experience in logistics management, preferably within an International NGO (INGO) environment.
• Specialized Experience: At least 2 years of experience in community-based interventions or logistics involving social norms change.
• Technical Proficiency: Advanced knowledge of Microsoft Office Suite, specifically Excel for data tracking and Word for reporting.
• Languages: Full professional proficiency in English (written and oral) is mandatory. Fluency in local languages (e.g., Hausa) is essential for effective regional operations.
