ABOUT THE ROLE
The Administrative Assistant will provide administrative and operational support to the IOM Sub Office in Nigeria. The position will work under the overall supervision of the Head, Resource Management Officer and the direct supervision of the Resource Management Officer.
KEY RESPONSIBILITIES
Manage appointments, calendars, visitors, telephone calls and correspondence for the supervisor.
Coordinate administrative support for meetings, trainings, seminars, committees, projects and special events.
Attend meetings, prepare minutes and monitor follow up actions.
Review, record, distribute and process incoming correspondence and follow up on pending actions.
Prepare draft responses and other communications while handling sensitive and confidential information appropriately.
Conduct quality control of outgoing documents and proofread materials for grammar, punctuation, formatting and style.
Support contract extensions, temporary staff requests, leave and attendance records, budget preparation and administrative follow up.
Research, compile and organize background information and reference materials for reports, briefs and speeches.
Generate statistical and other reports from relevant databases.
Process administrative actions relating to HR, contracts, procurement, accounting, finance and logistics through IOM computerized systems.
Maintain filing and reference systems and identify opportunities to improve office procedures.
QUALIFICATIONS AND EXPERIENCE
Bachelor’s Degree in Business Administration or a related field with 3 years of relevant professional experience.
OR
High School Diploma with 5 years of relevant professional experience.
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Email and Outlook.
Strong attention to detail and ability to organize paperwork systematically.
Discretion, patience, client orientation and willingness to learn.
Previous experience with international humanitarian organizations, NGOs or government institutions in a multicultural environment is an advantage.
KNOWLEDGE AND SKILLS
Knowledge of administration and finance processes.
Knowledge of migration related subject areas.
Knowledge of UN and bilateral donor programming.
Knowledge of financial rules and regulations.
Knowledge of procurement and human resources processes.
LANGUAGE REQUIREMENT
Fluency in English is required. Language proficiency may be assessed through written and or oral assessments during the recruitment process.
