🎯 Role Overview
The Senior Grants Officer will be responsible for managing project budgets throughout the project lifecycle, from budget preparation and implementation through donor financial reporting and project close-out.
The role involves budget monitoring, financial analysis, donor reporting, transaction review and working closely with programme and finance teams to ensure projects remain financially compliant and on track.
🔑 Key Responsibilities
The successful candidate will:
- Develop robust project budgets in collaboration with programme teams.
- Phase approved donor budgets and coordinate their upload into the SUN accounting system.
- Monitor project expenditure and validate appropriate donor and account codes.
- Track approved procurement requests to prevent project budget overspending.
- Review and approve recoding journals and ensure proper documentation.
- Maintain up-to-date Budget Variance Analysis (BVA) and project financial reports.
- Analyse project variances and provide clear, quantified explanations.
- Prepare accurate donor financial reports for management review and submission.
- Produce consolidated project status reports covering current projects and channels.
- Manage and reconcile intercompany transactions.
- Conduct monthly reconciliation of deferred income by project.
- Reconcile UNFPA-donated stock and ensure balances are properly accounted for.
- Maintain an updated funding pipeline and cost matrix.
- Apply support-office cost allocation policies appropriately across projects.
- Work with Programme/Channel Leads on rolling forecasts, quarterly forecasts and business plans.
- Prepare monthly presentations covering project financial performance, variances, challenges and corrective actions.
- Support Finance Operations with project management and performance tracking.
- Contribute to strategic planning and accountability within the Finance Operations function.
🎓 Qualifications & Experience
Applicants should have:
- A Degree in Accounting, preferably with a minimum of Second Class Upper division or equivalent.
- A recognised professional qualification such as ACA or ACCA.
- 4–5 years of proven experience managing donor budgets, preferably within an international NGO.
- Experience using the SUN Accounting package and other accounting systems.
- Advanced Microsoft Excel skills.
- Strong understanding of donor financial management and reporting.
- Excellent financial analysis, reporting and organizational skills.
- Ability to manage multiple priorities and meet tight deadlines.
- Strong communication, interpersonal and problem-solving skills.
- Ability to work effectively with programme teams, finance colleagues, senior management and external stakeholders.
- Strong attention to detail, professionalism and initiative.
- Ability to work under pressure in a fast-paced environment.
⭐ Ideal Candidate
The position is particularly suited to an accounting/finance professional with substantial experience managing donor-funded projects, preparing financial reports, monitoring budgets and working within an international NGO environment.
Experience with SUN accounting, donor compliance, Budget Variance Analysis and advanced Excel will be particularly relevant.
