Médecins Sans Frontières MSF is an international, independent, non-profit medical humanitarian organisation providing assistance to people affected by armed conflict, disasters, and other crisis situations without discrimination.
MSF has been working in Nigeria since February 1996 in collaboration with national and local authorities.
MAIN PURPOSE OF THE POSITION
The Human Resource Assistant will perform administrative, HR, and legal-related tasks under the supervision of the Project HR Manager, following MSF standards and procedures to ensure legal compliance and support the HR capacity required to achieve project objectives.
KEY RESPONSIBILITIES
- Manage staff personal files to ensure accuracy, compliance, and timely payments.
- Update HR databases and personnel files to support effective HR processes.
- Maintain social security and tax office records in compliance with local labour and fiscal laws.
- Prepare employment contracts and amendments in accordance with legal requirements.
- Prepare monthly payslips and maintain accurate payroll information.
- Monitor expiring rental and service contracts and notify relevant managers in good time.
- Make administrative information available to staff through notices, meetings, and other communication channels.
- Support HR-related translation into local languages when required.
- Maintain accurate records of daily workers and facilitate their engagement with departments.
- Brief new national and international staff on the project, team, and accommodation arrangements.
- Support recruitment activities, including vacancy announcements, recruitment tools, test arrangements, applicant communication, and recruitment documentation.
- Follow up and record PMF and staff evaluations in Homère in a timely manner.
- Supervise cleaners, cooks, and cashier staff and support their administrative needs.
- Monitor administrative office supplies, cleaning materials, drinking water, tea, sugar, milk, coffee, and other essential items.
- Follow up attendance sheets and documentation for incentive workers and ensure timely processing of payments.
- Maintain proper documentation for incentive payments.
- Prepare monthly HR reports and ensure job descriptions are properly updated and filed.
- Participate in HR briefings and onboarding activities.
- Remain flexible and adaptable in a dynamic working environment and respond to additional HR and administrative tasks as assigned.
QUALIFICATIONS AND REQUIREMENTS
HR, Finance, Business, Management, Administration, or a related degree or diploma is desirable.
Minimum of 2 years of previous working experience in relevant positions.
Experience with MSF or other NGOs in Nigeria is an advantage.
Fluent English and Hausa are essential.
Fulfulde language skills are desirable.
Computer literacy, including Microsoft Word, Excel, and Internet applications.
Strong results and quality orientation.
Ability to work effectively within a team.
Behavioural flexibility and adaptability.
Commitment to MSF principles.
Ability to manage stress effectively.
