Position: Project Administrator

Job Summary:
The Project Administrator will play a crucial role in enabling the efficient and compliant implementation of project operational activities, ensuring the effective use of resources to maximize impact. This dynamic position requires a strong sense of organization, attention to detail, and the ability to collaborate effectively with team members.
Primary Functions & Responsibilities:
• Travel and Logistics: Assist with international and domestic travel requests for staff; process visa and work permit requests; guide drivers and cleaners to comply with operational standards; coordinate paperwork and maintenance of fleet and logistics management; check vehicle routes and speed limit applications.
• Office Management: Inspect and track usage of office consumables and facilities; draft reports relating to state offices; execute daily purchases and manage office petty cash; provide petty cash vouchers and payment of expenses; submit monthly petty cash fund reconciliation; draft correspondence and administrative documents; manage document filing and develop office administrative procedures.
• Procurement: Coordinate project needs and make requests in the system, working closely with Operations Specialists.
Basic Qualifications:
• Bachelor’s degree or Tertiary studies in Business Administration, Public Administration, Sociology, Office Management, or other relevant social sciences-related fields.
Preferred Qualification:
• Alternatively, have at least 2 years of work experience in an administrative/office management role, with responsibilities related to procurement, preferably with an international NGO.
• Procurement certification or prior experience is an added advantage.
• Experience with donor-funded projects.
• Demonstrated ability to manage and prioritize multiple tasks with competing deadlines.
• Experience coordinating junior-level service-oriented staff and developing strong working relationships.
Required Languages:
• Proficiency in written and spoken English. Knowledge of local language is a plus.
