POSITION: Field Coordinator
Location: Zamfara State, Nigeria
Reports to: Head of Mission
OVERALL ROLE PURPOSE
Under the direct supervision of the Head of Mission, the Field Coordinator (FieldCo) plays a pivotal role in the strategic, operational, and security management of Emergency First International’s humanitarian activities within the Zamfara region. As a senior representative at the field level, the Field Coordinator is entrusted with ensuring the overall coherence, efficiency, and quality of programming, while upholding organizational values and standards.
The Field Coordinator also serves as a crucial liaison between field operations and the Country Coordination Team, ensuring seamless communication, alignment with country strategy, and responsiveness to contextual changes and emerging needs.
KEY RESPONSIBILITIES
1. Strategic and Operational Leadership
- Ensure the coherent, timely, and quality implementation of Emergency First International’s program portfolio in the geographical area of responsibility, in alignment with the organization’s strategic objectives and humanitarian principles.
- Lead the operational planning, program development, and proposal writing processes in collaboration with technical and support coordinators.
- Continuously monitor humanitarian and security contexts to inform programming and strategic decision-making.
- Serve as a key member of the Country Management Team, contributing to the overall strategy, coordination, and learning processes of the Nigeria mission.
2. Team Management and Human Resources Oversight
- Directly supervise all national and international staff based in the field office, fostering a cohesive, inclusive, and results-driven work environment.
- Conduct performance evaluations (mid-term and final appraisals) for international staff and ensure appraisal processes for national staff are timely and consistent.
- Ensure compliance with internal policies and labor regulations, and manage the recruitment, onboarding, and training of staff in coordination with the HR Coordinator.
- Promote staff development and conflict resolution, and enforce accountability and ethical behavior in line with organizational values and code of conduct.
3. Administration, Logistics, and Financial Management
- Ensure effective logistical support, resource management, and administrative processes at the base, in compliance with donor and organizational regulations.
- Oversee budget utilization, expenditure tracking, and cost-efficiency efforts, and participate in monthly Budget Follow-Up (BFU) meetings with technical and administrative teams.
- Coordinate closely with the Finance and Logistics Coordinators to ensure transparency, documentation, and timely reporting of all operational activities.
- Guarantee a minimum standard of infrastructure and safety conditions (office, accommodation, hibernation spaces) for staff and operations in the field.
4. Representation, Coordination, and External Engagement
- Represent Emergency First International with governmental authorities, humanitarian actors, UN agencies, local stakeholders, and community leaders, fostering constructive partnerships and collaborative efforts.
- Actively participate in inter-agency coordination forums, thematic working groups (Health, Nutrition, Protection, Food Security), and consortium platforms in Katsina and Zamfara states.
- Organize and manage field visits for donors, partners, and high-level stakeholders, including preparation of program presentations and briefing notes.
- Ensure the Field Office is well integrated in the humanitarian ecosystem and maintains its neutrality, independence, and visibility.
5. Security Management
- Assume delegated authority for security management in the area of operation, under the guidance of the Head of Mission.
- Continuously assess the security environment and implement context-specific safety protocols, contingency plans, and Standard Operating Procedures (SOPs).
- Maintain regular communication with the Security Focal Point and ensure that staff are trained, briefed, and equipped to operate safely in volatile environments.
- Act as a key point of contact during critical incidents, leading the coordination of response and communication.
6. Reporting, Communication, and Information Management
- Ensure timely submission of all internal and external reports (Situation Reports, Activity Reports, Incident Reports, Donor Reports), in compliance with deadlines and quality standards.
- Promote transparent and efficient communication flows between the field and the coordination office.
- Regularly disseminate contextual updates, operational achievements, challenges, and lessons learned to enhance strategic planning and adaptive programming.
- Ensure the accurate and timely submission of PMTs (Project Monitoring Tools) and OFUs (Operational Follow-Up) to coordination as per the agreed schedule.
QUALIFICATIONS & SKILLS REQUIRED
- Proven experience (minimum 5 years) in humanitarian project management and coordination in complex and insecure environments, preferably with international NGOs.
- Strong leadership and team-building abilities, with experience in managing multi-sectoral teams.
- Sound knowledge of project cycle management, budget oversight, and institutional donor compliance (e.g., ECHO, USAID, UN).
- Demonstrated ability in external representation, advocacy, and negotiation with a wide range of stakeholders.
- Excellent communication, organizational, and interpersonal skills.
- Fluency in English required; knowledge of Hausa or other local languages is an asset.
- University degree in a relevant field such as International Relations, Development Studies, Public Health, or Humanitarian Affairs.
