Development Exchange Centre (DEC) is a non-governmental, non-discriminating, women-focused organization improving the wellbeing of women groups and communities in Nigeria through socio-economic interventions for sustainable development.

DEC was established in November 1987 due to joint research conducted by the Canadian University Services Overseas (CUSO) and the Adult and Non-Formal Education Agency (ANFEA) Bauchi State.

Background

Development Exchange Centre (DEC) is a Partner to CARE International in the implementation of CAtalyzing Strengthened policy aCtion for heAlthy Diets and resiliencE (CASCADE) Project, CASCADE Project is a Programme being implemented by CARE International and Global Alliance for Improved Nutrition (GAIN) with funding from the Netherlands Ministry of Foreign Affairs. CASCADE is a 4.5year (2022-2026) Programme implemented across six countries (Nigeria, Benin, Mozambique, Kenya, Ethiopia, and Uganda). In Nigeria the Programme aims to strengthen nutrition systems that contribute to ending malnutrition for 1.1 million women of reproductive age and children under the age of 15 and is being implemented in the State of Bauchi, Jigawa, Kebbi and Nasarawa States.

Job Title: Office Assistant

Reports to: Finance Officer, DEC- CASCADE Project
Project Duration: 6 months
Locations: Bauchi and Nasarawa States

Purpose of the Role:

To take care of our office space and carry out cleaning, maintenance, and secretarial duties. S/he will ensure the cleanliness and safety of the office area and environment. S/he will also provide support for basic administrative tasks, such as managing correspondence, filing, record-keeping, updating, retrieving data, procurement and purchases.

      Key Responsibilities:

  • Performs administrative and secretarial functions.
  • Receives partners, guest (s) and attends to guest (s).
  • Assists in preparing for meetings (setting up venue, accommodation, and other required logistics).
  • Documents and files minutes of meetings.
  • Performs general cleaning functions including removal of cobwebs as required and maintenance of the whole office.
  • Maintains and cleans all cleaning equipment utilized.
  • Accounts for all equipment and consumables entrusted to him/her.
  • Be willing to take on new roles and tasks as needed and assigned.
  • Notifies the Administrative Officer of any deficiency or needs for repairs.
  • Dusts furniture, equipment, partitions, walls, windows etc. daily and weekly.
  • Cleans and disinfects sinks, countertops, doors, floors, toilets, mirrors, tables, chairs, refrigerators, microwaves etc. in restrooms, offices, and kitchenette regularly.
  • Sweeps, mop, and/or hand scrubs floors using brooms, mop daily.
  • Empties trash cans and recyclables into disposal areas.
  • Ensures adequate supply within the facility.
  • Replenishes supplies in restrooms and kitchenette.
  • Assists in the procurement process.
  • Ensures timely purchase of supplies needed at the office.
  • Identifies, monitors, and reports potential safety or maintenance issues and communicates them to the Administration Officer immediately.
  • Comply with all safety policies and procedures relating to performance tasks, use of products and supplies.
  • Reports early to work to perform services based on established standards and ensures office facility is locked and secure daily after work.
  • Any other general administrative duties as will be assigned.

Qualifications and Experience for the position:

  • Minimum of ND/NCE in Office Administration, Secretariat Studies or a related field. Good accounting background will be an added advantage.
  • Minimum of 1 year in a related role.
  • Basic knowledge of administrative processes
  • Basic computer knowledge/literacy (Microsoft Office, email, etc.)
  • Ability to communicate (speak, listen, read & write) in English language is required for this role.
  • Agility and Stamina to work long hours.
  • Smart, Neat with good communication skills.
  • Ability to work flexible hours.
  • Advanced knowledge of cleaning processes.
  • Well-organized.
  • Ability to work successfully in a cross-cultural, team-based environment.
