Assistant and Information Management (IM) Officer At International Committee of the Red Cross
The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and at the same time promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.
THE PURPOSE
Under the supervision of the Head of Sub Delegation, the Assistant and Information Management (IM) Officer provides administrative support and is responsible for information management, either independently or under the supervision of the Executive Assistant & Information Management Officer (EAIMO). S/he acts also as a reference person for written protocols, correspondence and standard tools in Damaturu.
YOUR ROLE
- Make an active contribution to support and implement all projects or programs linked to information management.
- Actively takes part in any new IM tool deployment in the delegation. Works with the EAIMO in organizing training sessions, information dissemination and preparing training materials.
- Ensure that all electronic documents sent to the sub-delegation teambox and all paper documents received at the IM and Support Office is shared with the concerned staff members
- Draw up procedures to govern the transfer of information between sites (Sub-delegation/Offices); in charge of making out/sending/reception of bordereaux.
- Manage and monitors use of collaborative spaces and databases in Damaturu, including access, and updates information in the reference tools, acts as a reference person.
- Organize regular training or information sessions on information management.
- Act as access manager and is In-charge of profile management for the users under his/her area of responsibility and ensures timely follow up with ICT.
- Ensure that proper procedures for protection/use/storage of sensitive office supplies (ICRC stamps, seals, letterhead stationery, business cards, etc.) exist and are complied with the visual identity rules
- As a part of Global Support provides up to “second level” user support and troubleshooting to site computer users. If beyond his/her capacity to solve the incident and respond on service request, escalates it to respective ICT Specialist or ICT Manager.
- Participate in monthly ICT Meeting organized by ICT Manager.
- Participate in a Power Users training to maintain the necessary knowledge.
- Installs / reinstalls / maintains ICT equipment (computers, printers, NAS drives etc) independently or in consultation with Maiduguri ICT
- When needed, synthesizes messages from Service Desk or ICT and gives clear explanations in direct to site users.
- Control the access to Server Room in absence of ICT Specialist and conducts on demand inspection to check equipment and room status.
- Manage ICT Orders, Repair and Pool material.
- When applicable is a focal point for local service providers ISP, GSM, HP etc.
- Report of her/his ICT actions to the ICT Specialist and ICT Manager
- Draft formal and informal non-confidential correspondence for the signature of the management
- Make contact and ensures follow up with interlocutors upon request, organizing meetings wherever necessary, coordinates all related logistical aspects.
- Participate in the organization of visits of donors and other major figures.
YOUR PROFILE: EDUCATION & EXPERIENCE
- University degree in information Management, Information technology or related fields.
- 3 – 5 Years as an assistant or information management/IT roles in an International Organization/Company
- Level 1 IT support skills/certifications including digital workplace is an advantage
- Excellent command of English and Hausa is required. Familiarity with the Yobe State context and knowledge local languages is an asset.
- Advanced computer skills, including Microsoft Office suite, SharePoint, HCL Lotus Notes and other web-based solutions.
- You must have a valid working permit to work in Nigeria
