The Warehouse Supervisor is responsible for overseeing the day-to-day operations of the Maiduguri internal warehouse. This includes supervising the receipt, storage, and dispatch of goods, maintaining accurate inventory records, ensuring safety and compliance with INTERSOS standards, and coordinating support services such as guest house maintenance.
The role requires strong leadership, attention to detail, and the ability to manage both staff and stock effectively under tight timelines and in a dynamic humanitarian context.
RESPONSIBILITIES:
Warehouse & Stock Management
- Plan and coordinate daily warehouse operations in line with INTERSOS procedures.
- Manage both non-medical, food and NFI stocks, ensuring full physical and administrative control in collaboration with the Country logistics coordinator and relevant stock owners.
- Supervise all incoming and outgoing stock movements, verifying the accuracy of goods and documentation.
- Ensure correct application of inventory methods (FIFO, FEFO, LIFO) to reduce waste, losses, and expiries.
Inventory Control & Documentation
- Conduct regular inventory counts (monthly cycle counts and full physical counts).
- Keep inventory levels updated in INTERSOS Inventory Management System (IMS).
- Maintain both digital and physical archives for all warehouse-related documentation, including stock cards, delivery notes, GRNs, SRFs, and waybills.
- Ensure proper use and upkeep of the warehouse tracker and cloud storage drive.
Warehouse Layout, Safety & Maintenance
- Keep the warehouse clean, secure, and well-organized in line with layout standards.
- Ensure proper storage, labeling, and accessibility of all items.
- Implement and monitor safety protocols, including access control and fire prevention.
- Schedule fumigation and pest control and oversee minor maintenance of the facility.
Guest House Support
- Monitor and respond to daily maintenance issues in the guest house.
- Supervise minor repairs (plumbing, electrical, mechanical) and manage energy needs (generator supplies, gas refills).
- Track inventory of supplies and coordinate procurement with the logistics team.
- Oversee external service providers (e.g. AC servicing, water tank cleaning, chlorination).
- Ensure guest house cleanliness, security, and proper functionality of all systems.
Team Supervision & HR Coordination
- Supervise warehouse assistants and casual laborers, define tasks, create work schedules, and lead daily briefings.
- Coordinate with HR for staff recruitment, onboarding, evaluation, and development plans.
- Monitor team performance and ensure adherence to work quality and safety standards.
Compliance & Reporting
- Submit timely and accurate monthly reports on warehouse operations.
- Ensure compliance with INTERSOS SOPs, donor requirements, and internal controls.
- Identify and report any inventory irregularities, safety risks, or policy deviations.
- Support the implementation of corrective and improvement actions as needed.
Supervision & Collaboration
- Direct Reports: Warehouse Assistant(s), Casual Workers
- Internal Contacts: Supply Chain, Logistics, Programs
- External Contacts: Vendors, Technicians, Utility Providers.
- Perform any other task as assigned by the supervisor.
Qualifications and Experience:
Education.
- Minimum of B.Sc./HND in Business Administration, Public Administration, or related field from a recognized higher institution
Professional experience.
- Minimum 2 years’ Logistics, Warehousing, Distributions or Cargo transportation.
- Minimum 2-year experience with recognized INGO
Professional requirements.
- Knowledge of warehouse procedures
- Experience in or ability to learn administration and preparing a large scall of cargo services
- Cultural sensitivity and adaptability
- Strong communication skills with ability to express ideas and concepts clearly and persuasively with senior members of the humanitarian community as well as with field practitioners.
- Excellent networking skills.
- High degree of negotiation and persuasion skills.
- Ability to work with a reasonable level of comfort in high tension and high security risk situations.
