Main Purpose of the Role
Support the Flight Coordinator in managing all technical, administrative, and operational aspects of MSF air transport activities. You’ll ensure safe, efficient, and timely flight operations and serve as MSF’s liaison with aviation authorities, airport staff, and partner organizations.
Key Responsibilities
- Coordinate administrative/logistics tasks related to MSF aircraft operations at the airport.
- Liaise with Civil Aviation Authorities, airport reps, and security agencies on MSF flight operations.
- Prepare flight schedules in line with aviation safety and operational procedures.
- Monitor flight progress and ensure real-time updates to relevant MSF sites.
- Ensure proper booking of MSF personnel and cargo via MSF’s internal system.
- Assist in organizing meetings with aviation authorities and stakeholders.
- Track and file post-flight documents; process related invoices (fuel, handling, navigation).
- Write daily, weekly, and monthly reports and contribute to documentation of guidelines.
- Maintain strong working relationships with authorities and other humanitarian operators.
- Interpret NOTAMs, weather reports, and aviation circulars for safe operations.
- Ensure timely notification and support in case of any incident/accident involving MSF staff, crew, or aircraft.
Qualifications
Education:
- University degree in Flight Dispatch, Flight Operations, Pilot Training, or Air Traffic Control
Experience:
- Prior exposure to airport/airline operations, flight scheduling, aviation logistics, or customer service
Languages:
- Essential: Fluency in English
- Desirable: Knowledge of aviation terminologies
Skills & Competencies:
- Excellent interpersonal and organizational skills
- Strong communication and networking abilities
- Team player with adaptability and commitment to MSF’s mission
- Good knowledge of Microsoft Office tools (Word, Excel, Outlook, Internet)
- Valid driver’s license
- Clean police record
